DEPOSIT:
Deposits vary from hotel to hotel. A minimum of $250 per coach is required
within 14 days from reservation. Deposit is non-refundable if group cancels within
30 days of departure. Partial refund on deposit for cancellation received prior
to 30 day deadline. Group cancellation has to be made in writing, by fax or by
e-mail. Phone cancellation will not be accepted for group bookings. No exceptions.

CANCELLATION TRANSFER OPTION:
Any group reservation may be transferred to another date subject to availability
to prevent loss on deposit. This is a one-time offer.
CANCELLATION FEE:
A cancellation fee represents a non-refundable service charge for Champagne
Tours. The following fees apply:
- $100 per coach for local trips (Day
excursions or Turnarounds)
- $150 for all charters exceeding
15 hours up to 36 hours
- $250 per coach for all charters
exceeding 36 hours up to 72 hours
- $500 per coach for all charters
exceeding 72 hours
- $25 per passenger for all Airline
package deals
To avoid unnecessary
cancellation fees, please be sure about date of operation and number of coaches
requested.
ROOMING LIST:
All rooming lists must be printed or typed to avoid unnecessary delays. List
must include first & last names or will be returned for correction. To save
time, please indicate the following preferences:
Smoking…Non-Smoking…Handicapped…Wheelchair requested…Lowest
level possible…Adjacent rooms requested…Suite or Jacuzzi Suite requested.
All changes to list must
be submitted via fax or email.
Any changes called in will not be guaranteed.
Rooming list must be ready on or before deadline as stipulated in contract or
hotel reserves the right to cancel group reservation.
BALANCE PAYMENT:
Group coordinator agrees to submit one payment for balance due on or before
the deadline.
Balance payment depends on the number of passengers confirmed as Single, Double
or Triple Occupancy plus vacancy charge if applicable.
Please be sure to include all incidentals such as Wheelchair rental, additional
charge for Jacuzzi Suite, etc. Any discounts offered must also be discluded in
balance payment.
If you are not sure how to figure out balance payment please request invoice based
on final passenger count.
LATE FEE:
It is advisable to allow for sufficient time by mail so that deposit/balance
is received no later than the due date as indicated on contract.
The following late fees apply:
- $15 for deposit requirement
- $25 for balance requirement
Please note that there
is no late fee allowed on all airline reservation. Airline will automatically
cancel any reservation not secured with a deposit on time. Airline policies vary.
You will be offered the chance to purchase cancellation insurance.
VACANT SEAT CHARGE:
Each package deal is based on a minimum number of passengers to confirm a
price quote. In the event that group cannot comply with contractual obligations
you have a choice to:
a) cancel entire tour
b) pay for vacant seats at cost indicated on charter confirmation
c) check with Champagne Tours.net for a possibility to combine with another group
or accept add-ons confirmed by Champagne Tours.net.
A vacant seat charge includes
the cost of seat on bus plus a minimum of $10 service fee. In the event that group
can sell vacant seats after balance payment has been made, same amount will be
deducted from final payment due.
ITINERARY:
Casino attendance by all passengers is required to ensure full compensation
to agency. Any itinerary proposed & discussed remains subject to verification
and should never be advertised unless confirmed in writing. Adjustments may be
necessary.
A casino itinerary will be negotiated with client to allow for the best possible
bonus package in accordance with casino rules.
A casino schedule & bonus are subject to cancellation by casino management
with or without prior notification.
Your full cooperation will be appreciated. Any violation of above rules will result
in additional billing for lost revenues.
METHOD OF PAYMENT:

Payments must be made
by company check, money order, cash or credit card if accepted.

No personal checks will
be accepted.

Payments made after
deadline must be by money order or bank certified check only.

No reservations/payments
will be accepted less than 72 hours prior to departure. Group coordinator should
always make sure that all passengers are confirmed and paid for prior to agency
deadline to avoid late fee and/or possible cancellation by hotel. Agency does
not resume any responsibility for hotel cancellations caused by missing a deadline
as per contract. It is group's responsibility to comply.
CHARTER CONFIRMATION & CONTRACT:
Upon selection of all tour details, hotel accommodation & itinerary, a
charter confirmation or contract will be send to you by mail, fax or e-mail.
Group coordinator is responsible to return signed contract along with applicable
deposit before due date to avoid late fee.
Carefully check all information, correct or fill in missing data before submitting
signed contract.
Please be aware that your signature denotes your acceptance of order and legal
responsibility to comply with all stipulations as per contract.
COMMENTS/COMPLAINTS:
All comments or complaints about service provided must be submitted in writing
and must be signed by the person(s) commenting and/or complaining. You must be
ready to submit proof to support your claim. Please be advised that Champagne
Tours.net does not automatically take action unless claims can be substantiated.
Valid complaints will be turned over to the appropriate department for immediate
verification. A written response will be submitted to customer.
PLEASE NOTE:
Occasionally there may be several requests for same date & hotel but not
sufficient room availability to accommodate each group. Agency reserves the right
to replace a group already confirmed with deposit but not guaranteed with final
payment 30 days prior to departure to secure business revenues. To avoid such
situation a 30 day deadline will be strictly reinforced. Client must at that time
make a decision to:
a) guarantee contract
with final payment by bank certified check
b) withdraw from contract
c) agency will not compromise business revenues on a questionable group confirmation.
